The Front Desk Receptionist serves as the first point of contact for clients, guests, volunteers, donors, staff, vendors, and other visitors to a busy engagement center serving individuals experiencing homelessness. This position is responsible for creating a welcoming, professional, and mission-driven environment by greeting and directing visitors, answering incoming calls, and providing administrative support to ensure efficient daily operations.

The schedule for this position is Monday through Friday, 8:30 a.m. to 4:30 p.m.

Essential Duties and Responsibilities
  • Greets guests and visitors in a courteous and professional manner. Determines the nature of business and announces visitors to appropriate personnel.
  • Takes and delivers messages when appropriate personnel are unavailable.
  • Verifies guest eligibility for entry into to the Homeless Engagement Center using an electronic system.
  • Clearly communicates expectations and requirements regarding entry into the Homeless Engagement Center to guests.
  • Participates in training in evidence-based practices for effective communication and de-escalation strategies.
  • Participates in all required agency trainings and events to improve service delivery and comply with funder requirements.
  • As needed, answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Retrieves messages from voice mail and forwards to appropriate personnel as needed.
  • Performs other clerical duties as needed, such as filing, copying, and collating.
  • Accepts, routes and tracks in-kind donations (may require lifting up to 25 pounds). Advises appropriate staff to ensure acknowledgement of gift.
  • Performs other duties as assigned by the Director of Homeless Outreach.
  • Performs clerical duties in the afternoons as requested by the Director of Homeless Outreach.

Requirements

  • High school diploma or GED preferred.
  • Excellent verbal and written communication skills.
  • Minimum of 3 years of receptionist, administrative, or customer service experience.
  • Experience working in a nonprofit, healthcare, behavioral health, or social services environment preferred.
  • Strong computer skills, proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).
  • Ability to manage multiple tasks in a fast-paced environment.
  • Requires ability to operate business equipment used daily within the organization.

Salary Description
